Most organisations run IT asset management as three disconnected efforts: a hardware spreadsheet, a licence reconciliation done once a year under pressure, and a CMDB nobody trusts. NextITAM runs all three on one data model, so a device, its licences, and the services it supports are the same record seen three ways.

Hardware asset management

IT asset register and custody

Every device with its owner, location, state and warranty on one record. Custody changes are kept with a before-and-after trail, so the question "who had this laptop in March" has an answer rather than an estimate.

IT catalog and stockroom

A catalog of what staff may request, backed by real stockroom quantities. What is on the shelf drives what can be promised, so fulfilment stops depending on someone walking to the cupboard.

Request, approve, issue

Hardware requests run an approval chain and then draw from stock, moving custody in the same step. The register never drifts from the floor because issuing is what updates it.

Discovery import

Bring in what your scanners already see and reconcile it against the register — matched, new, or unaccounted for. Discovery proposes; it does not silently overwrite your record.

Physical stocktake

Count the floor, scan as you go, and report the variance line by line. Auditors get the count sheet and the exceptions, not a spreadsheet assembled after the fact.

Leaver and mover reclaim

When someone leaves or changes role, everything in their custody becomes a tracked reclaim task. Kit comes back to stock instead of quietly leaving the building.

Lifecycle watch and practice KPIs

Warranty and support cliffs, ageing estate, and idle stock surfaced before they turn into an emergency purchase — with the practice-level KPIs an ITAM manager is measured on.

Disposal with evidence

Publisher licensing engines

Publishers do not count the same way, so neither do we. Virtualisation-aware counting follows the rules that actually apply to the estate instead of a single generic install count.

Upgrade and downgrade rights

Entitlements you already hold often cover a version you are running. Those rights are applied to the position rather than left for someone to argue by hand.

SWID and ENT ingestion

ISO/IEC 19770-2 software identification tags and -3 entitlement schemas are consumed directly, so the evidence chain is machine-readable end to end.

Unauthorised software detection

Software nobody approved, found and attributed to the device and the person holding it — the licence exposure and the security exposure in one list.

Configuration items mapped to the business services they support, with declared dependencies between them. The estate described the way the business talks about it.

If this fails, what breaks

Ask the CMDB what a change or an outage takes down with it, and get the affected services and dependants back. The question a change advisory board actually needs answered.

Completeness scoring

A CMDB is only worth what its data quality allows. Completeness is scored per class so gaps are visible and fixable instead of discovered during an incident.

Duplicate detection

The same machine arriving twice from two sources is the classic way a CMDB rots. Likely duplicates are surfaced for a decision rather than left to accumulate.

Baselines and drift

Capture what good looked like, then see what has moved away from it. Drift is reported against the baseline, so unplanned change stops being invisible.

Built on the standard

Plenty of tools mention the standard in a datasheet. The difference that matters at audit time is whether the tool actually ingests its data structures — because that is what makes your evidence chain machine-readable instead of a set of exports someone assembled by hand.

IT asset management and maintenance are usually run by different teams, so NextITAM is sold as its own product line. What it is not is a separate system: choose to run both and they share the platform underneath.
